Clinical Associates
A physician-led practice with more demand than its phone lines could handle. The problem was never interest. It was where the interest went.
Project Overview
Healthcare, Physician-Built and Physician-Led
Clinical Associates came to us after working with a generic marketing agency that failed to understand the medical landscape, leaving them struggling to compete against massive corporate networks. As a physician-built and physician-led practice, they needed a digital presence that highlighted their doctors while solving a major operational bottleneck: call volume was so high that prospective patients were slipping through without a call back.
We built a custom, SEO-driven website featuring an integrated online new patient form to instantly capture and streamline incoming inquiries.
We also executed a dedicated content shoot to feature the practitioners across social media, deployed targeted paid ads, managed ongoing blogs and reputation building, and provided a clean collateral refresh for the office.
The Numbers
Where Clinical Associates Landed
The Challenges
More incoming interest than the front desk could answer
Clinical Associates was facing both strategic and operational hurdles. Their previous agency lacked specialized healthcare experience, failing to establish strong brand recognition or position them effectively against corporate-owned competitors. Operationally, the practice was struggling to keep up with incoming interest. Phone call volume was so high that staff could not manage the influx, resulting in uncontacted prospective patients and lost appointments. Their digital channels also lacked authentic visuals of the actual medical team, making it difficult for the community to connect with the doctors before a first visit.
More inbound calls than the front desk could realistically answer in a day.
Inquiries went uncontacted, and the appointments went somewhere else.
An independent practice competing on visibility against corporate-owned groups.
No authentic visuals of the actual medical team anywhere across digital channels.
A previous agency with no healthcare experience never built local standing.
Requesting an appointment meant the phone, or nothing at all.
The Solutions
Fix the bottleneck first, then build the visibility
We developed a modern, SEO-optimized website with a new online patient intake form, giving prospective patients a direct digital path to request an appointment and eliminating the inquiries lost to a busy phone line.
To humanize the practice, we ran an on-site practitioner shoot, capturing authentic photo and video of the doctors to feature across social. Paid campaigns, educational blog content, automated reputation management, and a clean refresh of the in-office collateral rounded it out.
There is no point driving more demand into a channel that is already full.
A direct digital path to request an appointment, captured and organized instantly.
A modern build positioning an independent practice against corporate networks.
Authentic photo and video of the actual doctors, not stock medical imagery.
Local acquisition running alongside the organic search foundation.
Ongoing publishing that answers patient questions and supports search visibility.
A steady flow of patient reviews building local trust and search authority.
Clean print materials matching the practice's updated digital presence.
Why It Worked
Operational relief and doctor-led branding, in the same build
The digital intake form relieved pressure on the front desk immediately, capturing and organizing every incoming lead for prompt follow-up instead of leaving it to whoever could pick up the phone.
Putting the actual doctors on camera let the practice stand out against cold corporate competitors, building familiarity and trust with local patients before they ever walked in. That is the one advantage an independent practice has, and it had been sitting unused.
With a strong SEO foundation, targeted paid ads, and continuous reputation management underneath, high community demand turned into a streamlined patient acquisition system instead of a bottleneck.
